FAQ (click on the questions to learn more)
Will the PTO still send messages through ParentSquare? Expand/Collapse
Yes, the PTO will still send messages through ParentSquare to be able to reach out to families that do not want to join this service, but we will be able to send more concise messages through ParentSquare by providing shorter information and links to the website for families to access more information. Most of the general information on the website will be accessible to everyone.
So, then, why another service? Expand/Collapse
To the typical WHES family, this won't really be 'yet another service' once you are signed up. It will primarily be a website that you can access through your computer, phone, or on an app to be able to keep track of school activities in a more user-friendly way.
To the PTO it will serve as an easier way to let families know what is happening in the school. Currently ParentSquare is the only way that we can communicate with families and that requires the PTO to go through the Administration to get information to you. This is often difficult to coordinate and requires additional steps and time to get our messages out. It is also a distraction for our Administration. Now messages from the PTO on ParentSquare will simply involve brief information with links to the information on our website.
What does the Administration think about this option? Expand/Collapse
The PTO met with both Principal Carmona and Dr. Zrike earlier in this school year and they thought this option was a good idea. Since the district has determined that the PTO cannot directly access ParentSquare to send out communications, this service will cut down on the number of messages that the PTO has to ask the Administration to send out to families. The messages that are still sent out will be much more concise since links that are accessible to all can be provided instead of long explanations.
Is my information secure? Expand/Collapse
We are using a trial with Membership Toolkit which is an all-in-one cloud-based software suite designed specifically for volunteer-led organizations to manage administrative tasks in one centralized location. It is primarily used by non-profits such as PTAs/PTOs, booster clubs, scouts, and HOAs to reduce "busywork" for board members and volunteers.
Membership Toolkit is designed to be a secure platform for non-profits and schools, featuring encrypted data in transit, secure payment processing that we don't plan to use at this point, and strict data ownership policies where they do not sell user data.
More than 2,000 PTAs, PTOs, and similar school-support organizations use Membership Toolkit for communications and management. The platform serves over 3.9 million families, offering specialized tools to help volunteer-led groups manage directories and volunteer signups.
What is the Directory? Expand/Collapse
The directory is a place for families to share whatever information that they are comfortable sharing with other WHES families. To be able to view the directory, a user must be logged in with an email and password. All new registered users will be reviewed to assure that they are affiliated with WHES. This will assure that only WHES families will have access to the directory information.
To preview the directory, click here or on the 'Directory' link on the red main menu navigation bar at the top of any website page once you have registered with the site. To keep the directory between WHES families, all access to the directory requires users to register.
If you ever need to change the information that you have provided or modify what you are willing to share in the directory, please click on the 'My Account' link on the red main menu navigation bar at the top of any website page. If you need assistance, please reach out to WHESWebmaster@gmail.com.
We will add more information to the FAQ as we receive user-input. For any questions or concerns, please reach out to WHESWebmaster@gmail.com.
